Cash on delivery turns every parcel into a small loan to the courier until it's remitted. Reconciling parcel by parcel is how shippers find what's missing. The week and amounts are made up.

Freight: shortening the wait

Business customers usually pay freight on credit terms, and the gap between delivering and being paid is what funds (or strains) a transport business. Every day an invoice goes unsent, or a payment arrives without a reference, adds to it.

Invoice with the shipment references the customer needs to approve it, give each customer a dedicated way to pay, and reconcile daily so overdue invoices are chased before they're old.

Cash on delivery, from doorstep to remittance

For a courier, COD cash belongs to the shipper from the moment it's collected. It passes through delivery agents, hubs and bank deposits before being remitted, net of charges. Every handover is a place where money can be delayed, miscounted or lost.

Paying drivers and delivery partners

Drivers and delivery partners judge a company by how reliably it pays. Payouts on a fixed, frequent schedule, to verified accounts, with a clear breakdown of what each payment covers, prevent most disputes and much of the churn.

Verify each partner's bank account at onboarding, pay in batches from a funded account, and send a statement with every payment: trips, incentives, advances recovered, and any deductions.

Fuel, tolls and trip costs

Fuel and tolls are paid every day, often by drivers on the road, and they're among the largest costs a fleet has. Moving them off cash and onto instruments you control (prepaid or fleet cards for fuel, a tag per vehicle for tolls) gives you the data to match every expense to a trip. Compare planned costs with actual ones each week; the differences point to route changes, wrong toll classes or misuse.

Damage, loss and claims

When a shipment is damaged or lost, money flows back: compensation to the customer under your terms, and sometimes a recovery from an insurer. Record each claim against the shipment, pay compensation to a verified account, and keep the insurer recovery linked to the same claim so the net cost of every incident is visible.

Don't net claims against freight silently

If a customer deducts a claim from a freight payment, record both separately. Netted amounts are where disputes and reconciliation gaps hide.

How should COD remittances be reconciled?

Parcel by parcel. Every delivered COD parcel should appear in a remittance, every returned one shouldn't, and every deduction should match your contract. A week-level total hides the parcels that go missing.

Can COD be collected digitally at the door?

Yes: a dynamic UPI QR on the delivery agent's device or a payment link sent at the doorstep lets the customer pay the exact amount digitally. It reduces cash handling and ties the payment to the shipment automatically.

What's the best way to pay drivers and delivery partners?

Bank payouts on a fixed schedule, to verified accounts, with a statement showing what each payment covers: trips, incentives and deductions. Many fleets pay more often than monthly, because partners value predictable, frequent pay.

How do we collect freight from business customers faster?
